In recent weeks, we received remarkably similar questions from different clients about badges and workshop allocations. It shows how dynamic event registrations can be—and how important it is to remain flexible when information becomes available later or when participants don't always fill in everything.
In this blog, we share two concrete situations we encountered recently, and how to solve them smartly.
Why badges matter more than you think
Badges are often treated as a practical detail. A name. A company. Maybe a role. Useful, of course. But also easy to underestimate.
In practice, badges can do much more:
- guide people to the right breakout
- help floor staff give directions faster
- support secure personal access with QR codes
- add sponsor value
- even play a role in event games or activations

1. Random numbers on badges: small addition, big impact
A client asked if it was possible to automatically generate a random number between 1 and 4 on every badge. The goal: divide participants into workshops later without asking them to make a choice beforehand.
Why this works
You create balanced distribution immediately without extra questions in the registration form. The number can serve as a workshop group, table number, route marker, or even as a game element. The organizer maintains full control but doesn't need to do manual allocation.
How we approach this
We can automatically generate a random value per registration and display it on the badge. The organizer then decides how to use those numbers themselves. It's simple, but enormously effective.
2. Late workshop question? Here's how to avoid gaps in the allocation
Another client added a workshop choice to the form only after the first registration round. This happens more often than you'd think, programs change, speakers shift, or a new session suddenly appears.
The challenge
Participants who had already registered hadn't filled out the workshop question yet. We sent them a supplementary email with a link to their existing registration so they could still submit their choice.
But: not everyone responds to such an email.
The client's question
"Can you automatically assign a random workshop to people who don't respond, so the groups stay well balanced?"
Yes, that can work, and it works surprisingly well
We can automatically distribute participants who don't make a choice across the available workshops. This provides:
